Getting Started

Metropolitan Nashville Public Schools (MNPS) needs all educator licensure, name, and email data for charter schools to be accurate in state and local systems for automated and other processes to function correctly. When data are not available or do not match, system errors can impact students and educators at the charter school. An example is the Teacher-Student Connection (TSC) linking processes that generate individual value-added data for educators. If MNPS does not have accurate licensure data with matching name sets, educators won’t load into TSC. Furthermore, pre-populated student answer sheets for state assessments cannot be generated without accurate and complete data. Additionally, Tennessee State Board Policy 0520-02-03-01 requires that if a licensed educator legally changes their name or address, the holder must report such changes to the Office of Educator Licensing within thirty (30) days of making the change. Therefore, charter school must provide MNPS with an Educator Licensure Report quarterly. Please see the below instructions for additional information on this process. Step One: Quarterly, charter schools must provide the Educator Licensure Report from TNCompass. Do not modify the report except for adding one field to the Educator Licensure Report. The additional field should be titled “MNPS Employee ID” and be included for each record (regardless of duplicate). Note: There is no need to report contractors or people who do not have an MNPS employee ID. Please delete records that do not have an employee ID.

Step Two: Charter schools must audit the first name and last name fields in Infinite Campus and TNCompass to ensure that they match exactly in the fall semester (so that name changes are complete by spring assessment). Charter educators are responsible for making the change in the correct systems. To do so, follow the instructions below.

  • Pull an “Ad Hoc Report for Staff First Name and Last Name” from Infinite Campus.
  • Pull the “Staff Assignments Report” from TNCompass.
  • Complete a match analysis with Excel – not just visually. These two fields must match EXACTLY. If they visually appear to match but do not match when analyzed by an Excel formula, look to determine if there are spaces in the first and last name fields after the letters. This extra space can prevent educators from loading into systems.
